Video Diaries: The Production Pathway | Part 4, Bonus Post

Distribution & Launch

You’re reading Part 4 of our series on the video production process. If you missed the earlier chapters, start with Part 0, Part 1, Part 2 and Part 3.

With your video complete, the next step is getting it out into the world. A great video won’t make an impact if it just sits on a hard drive. So we assist with distribution and launch planning as needed. This can include formatting the video correctly for its intended platforms. For example, if the video is going on your website or YouTube, we’ll ensure you have web-friendly MP4 files in the right resolution. If you need a square or vertical cut-down for Instagram or TikTok, we can provide that too. Maybe the video will be played on a large screen at a live event or uploaded to an internal Learning Management System for training, whatever the case, we make sure you have the files in the specifications that work for your use case.

As we discussed in part 1, publishing to your website, YouTube or LinkedIn is not a distribution plan and it does not guarantee the right people will see it. This stage in the project is where that strategy goes to work: platform-specific masters and cut-downs, captions and clear metadata, scheduled releases with thumbnails and copy, and, where helpful, a light paid push. If the right audience still isn’t finding it, we adjust formats and timings, and refresh thumbnails or copy until it lands.

Archive & Future-proofing

After the excitement of a successful launch, we turn to a less glamorous but very important task: archiving the project. We take archiving and backup seriously, both for our own peace of mind and our clients’. In practice, we follow a 3-2-1 backup rule: we create at least three copies of all the important files, on at least two different types of storage media, with one of those copies stored off-site.

Besides backups, we also make sure the project files and assets are well organised and future-proofed. We keep things like raw footage, graphics, and audio files neatly labelled and dated. Why does this matter? Picture this: a year from now, you decide to update the video with some new information, or you want to create a version in another language. Maybe your company rebrands and you need to swap in a new logo and change the colour scheme. Because we’ve archived everything methodically, we can reopen the project and make those changes without having to start from scratch. It saves time, money, and preserves consistency.

Archiving is the closing chapter of the production pathway, and it bookends the process we opened in pre-production. Just as we believe in thorough preparation at the start, we believe in thorough wrap-up at the end. It’s all part of delivering a professional service and making sure the video’s value endures well into the future.

So there we have it. Producing a video is so much more than just a day of filming with a camera operator. It’s a multi-phase journey that involves planning, creativity, technical execution, and refinement at each step. So when someone asks, “Why does a three-minute video cost what it does?” or “Can’t we just pay for a cameraman for a day?”, they might not realise they’re really asking for the whole package, from concept to completion. By understanding this video production project pathway, you can better appreciate where your budget is going and be an active, informed participant in the process. Every project might be unique, but following these stages ensures that your story is told effectively. When the credits roll, both the team behind the video and you, the client, can feel proud knowing the result was achieved through a well-crafted process, not a single leap, but a series of well-planned steps.
